WeDo do nhóm WeDo phát triển và vận hành.
- mã người dùng Apple: một mã cố định Apple cấp cho WeDo để nhận ra bạn;
- email của bạn, hoặc một địa chỉ chuyển tiếp của Apple nếu bạn chọn ẩn email (xem dòng dưới), kèm thông tin email đó đã được Apple xác minh hay chưa;
- Expo (650 Industries, Inc.). Việc: chuyển thông báo đẩy tới điện thoại, và phát bản cập nhật ứng dụng. Dữ liệu: mã nhận thông báo, tiêu đề và nội dung thông báo (ví dụ tên người gửi và tối đa 120 ký tự đầu của tin nhắn, tên công việc, tên cuộc họp); yêu cầu kiểm tra cập nhật ở mục 3.6. Nơi xử lý: Hoa Kỳ.
- Apple Push Notification service (Apple) và Firebase Cloud Messaging (Google). Việc: đưa thông báo tới iPhone và điện thoại Android. Dữ liệu: như dòng Expo.
- Sentry (Functional Software, Inc.). Việc: nhận báo cáo lỗi và số liệu hiệu năng. Dữ liệu: như mục 3.7. Nơi xử lý: Hoa Kỳ.
- Nhà cung cấp AI: Google Gemini API (Google), Azure OpenAI (Microsoft), OpenAI API (OpenAI). Việc: tạo đề xuất công việc, tóm tắt cuộc họp, tổng hợp góp ý. Dữ liệu và điều kiện: xem mục 8. Nơi xử lý: Hoa Kỳ hoặc vùng máy chủ của nhà cung cấp.
- Anthropic (Anthropic, PBC).
- tên dự án;
- tin nhắn được chọn, kèm mã tài khoản, họ tên người viết và thời điểm gửi;
- tối đa 12 tin nhắn gần nhất trong trò chuyện dự án, kèm mã tài khoản, họ tên người viết và thời điểm gửi. Các tin này có thể do thành viên khác viết;
- danh sách thành viên dự án: mã tài khoản, họ tên, vai trò;
- câu hỏi của bạn và tối đa 10 tin gần nhất trong cuộc trò chuyện WeDoAi đang mở;
- tóm tắt những gì bạn đã có quyền xem trong WeDo: tên không gian làm việc và dự án, vai trò của bạn, số thành viên, mục tiêu chính; tên, người phụ trách (tên hiển thị), hạn và trạng thái của các việc; lịch họp 14 ngày tới; số việc được giao, đã xong và bị trễ của từng thành viên trong dự án;
- Cuộc họp và sự kiện lịch do bạn tạo.
Không hệ thống nào an toàn tuyệt đối.

WeDo Privacy Policy
WeDo is a teamwork tool for students: assigning tasks, project chat, direct messages, friends, meetings and a calendar. This Policy explains what data we collect, what we use it for, who we send it to, how long we keep it, and what rights you have over your data. This Policy is published in Vietnamese and in English; if the two versions conflict, the Vietnamese version prevails.
- We do not sell your data and we do not use your data for advertising.
- The mobile apps contain no advertising tools and do not track you across other companies' apps or websites.
- Some features use third-party AI. Section 8 explains what is sent, to whom and when.
- Other WeDo users can find you by name. Section 6 explains who sees what.
- You can report bad content and block users right in the app.
- You can delete your account right in the app: Account → Delete account ("Tài khoản → Xoá tài khoản").
1. Who we are and how to contact us
WeDo is developed and run by the WeDo team. The team consists of students from FPT University campuses.
The person responsible for processing personal data in WeDo is the individual Lê Hữu Đại, who publishes the WeDo app. Under Vietnamese law, this individual is the controller and processor of personal data. In this Policy, "we" means the individual Lê Hữu Đại together with the WeDo team.
Send all questions and requests about personal data to: wedosupport6886@gmail.com. We acknowledge receipt of a request within 2 working days.
2. What this Policy covers
- The WeDo website at wedofpt.com.vn and fe-wedo.vercel.app.
- The WeDo app on Android, downloaded from Google Play.
- The WeDo app on iPhone, downloaded from the App Store.
The three share one account and one server. Some things can only be done on the website, such as creating projects, inviting members and recording meeting notes. On iPhone, paid plans are bought through Apple In-App Purchase; on the website, payment is through payOS. The Android app has no payment function. Payment data arises on the website and when you buy through the App Store (section 3.9).
When the app opens a WeDo web page (for example the Contribution report page), that page is the WeDo website and follows the web measurement terms in section 3.8. The Privacy Policy, Terms of Use, Support and Delete Account pages are static pages: they do not require sign-in and use no measurement tools.
This Policy does not apply to other companies' services that you open yourself, such as the Google sign-in page, the Sign in with Apple sheet, the payOS payment page, or a Daily.co meeting room. Those services have their own policies.
3. Data we collect
3.1. Account
- Full name, email and password. The password is stored only as a hash (bcrypt); we cannot read your original password.
- Sign-in methods: on iPhone, you use Apple, Google, or email and password. On Android and on the website, you use Google or email and password. The Sign in with Apple button is available on iPhone only.
- If you sign in with Google (on the website, the Android app or the iPhone app): Google sends us your full name, email and the link to your Google profile photo. We do not receive your Google password.
-
If you sign in with Apple (iPhone only), we receive:
- your Apple user identifier: a fixed code Apple issues to WeDo to recognize you;
- your email, or an Apple relay address if you choose to hide your email (see the line below), together with whether Apple has verified that email;
- your full name, only the first time you sign in with Apple and only if you agree to share it. If you do not share it, the new account is named "Người dùng Apple" ("Apple user"). You can edit the name in Account → Personal information.
- Relay address: if you choose to hide your email in Apple's sign-in sheet, Apple gives WeDo an address of the form ...@privaterelay.appleid.com instead of your real email. This address is the email of the WeDo account. Mail sent to this address passes through Apple before reaching your real mailbox. In rare cases Apple provides no email at all; the account then carries a placeholder address ending in apple.invalid, which cannot receive mail.
- Note about email: Apple only relays mail from senders registered with Apple. So email WeDo sends to the relay address, such as password reset codes or replies from the support team, may not reach your mailbox. If you hid your email, keep signing in with the Apple button, and when you need support, state the relay address in your email to us.
- When you sign in with Apple, the WeDo server exchanges the authorization code Apple sends for an Apple refresh token. We store this token only to revoke Sign in with Apple when you delete your account (section 10), and for no other purpose.
- If the verified Apple email matches the email of an existing WeDo account, we link your Apple ID to that account instead of creating a new one.
- Session tokens, so you do not have to sign in again every time you open the app. On the server, the session renewal token is stored only as a hash.
- The password reset code is 6 digits, sent by email when you choose "Forgot password". The code is stored only as a hash and expires after 10 minutes.
- The time you agreed to the Terms of Use and confirmed you are at least 18, and the time you agreed to use AI on the iPhone app or on the website.
3.2. Profile
- Phone number and date of birth: optional, stored only if you fill them in.
- Avatar: in the app, you choose a photo from your photo library, and it is scaled down to 256 × 256 pixels before being stored. On the website, you upload a photo. The photo you choose is stored directly in your profile. If you sign in with Google and have no avatar, your Google profile photo is used as your avatar.
- Notification settings, and whether you have postponed or dismissed the feedback prompt.
3.3. Content you create
- Workspaces and projects: name, members, roles.
- Tasks: name, description, deadline, assignee, status, and the reason for rejection or return.
- Submissions: the files you submit for a task.
- Messages in project chat and direct messages: text, photos, attachments, reactions, replies, forwards, pins, recalls, and the time you read them.
- Photos sent in chat: in the mobile app, you take a photo with the camera or choose from your library, up to 5 photos per message. Photos are compressed before sending.
- Meetings: title, planned content, time, attendees. If a member turns on meeting notes on the website, or a leader pastes a transcript on the website, we additionally store the transcript, the summary, the decisions and the action items.
- Calendar: your events, deadlines and meetings.
- Feedback to WeDo: your rating from 1 to 5 and your comment.
3.4. Friends and teams
- Your friends list, and friend requests sent and received.
- Which workspaces and projects you belong to, and in what role.
We do not read the contacts on your phone.
3.5. AI feature data
- Data sent to AI providers: see section 8.
- Data we store: the result the AI returns (task suggestions, meeting summaries), the name of the provider and model used, and the number of times you use AI in the month.
3.6. Device and push notifications
- Your device's push token, together with the operating system type (Android or iOS). The token is tied to your account so that notifications reach the right device. The token is deleted when you sign out on that device.
- When the app checks for updates, Expo's update server receives the app version, the operating system and a random identifier specific to each installation. This request carries no account information.
3.7. Error and performance reports
- When the mobile app hits an error or freezes, it sends an error report to Sentry. The report includes: the error type, where in the code it happened, the device model, the operating system and app versions, a random identifier of the installation, and the actions immediately before the error. These actions may include the addresses of the most recent network requests, for example the keyword you just typed to search for friends.
- Error reports do not include your name, email or message content. When a report is sent, Sentry may receive your device's IP address.
- The WeDo server also sends server error reports to Sentry, together with timing figures for about 10% of calls to the server.
- If you allow it in your phone's settings, Apple or Google may send us crash reports and aggregated app usage figures.
3.8. Activity data and measurement
In the mobile app and on the server:
- The server stores the time of actions such as sending a message, receiving, rejecting or completing a task, submitting work, creating a meeting, and using AI. We use these timestamps to count daily active people.
- The server uses IP addresses in temporary memory to block requests that arrive too fast. IP addresses are not written to the database.
- The mobile apps use no measurement or advertising tools. Apart from the error reports in section 3.7, the apps send no usage data to third parties.
On the WeDo website (including when the page is opened from inside the app):
- We use the PostHog service to learn which features are used and where users get stuck. PostHog records the pages you open, the actions you take, your device and browser type, and an approximate location at province or city level inferred from your IP address.
- PostHog also records sessions, meaning it replays your actions on screen so that we can see where you run into difficulty. What is displayed on screen at that moment, including task names and messages, will be in the recording. What you type into input fields, such as passwords or a message you are composing, is masked.
- We send PostHog only your account identifier, not your name or email.
- WeDo also counts web visits itself using a random identifier stored in the browser: the first page you enter, the pages viewed, and the website that referred you.
- WeDo also records where you came from: the social network or campaign (through utm parameters on the link) and the website that referred you. This source is tied to that random identifier and, when you create an account, to your account, so WeDo knows which channels work. WeDo does not store ad click identifiers (such as fbclid, ttclid, gclid), only that the link carried one.
- The website loads fonts from Google Fonts and some illustrations from Unsplash and Transparent Textures. When loading, these services receive your IP address and browser information.
To avoid being recorded by PostHog, turn on Do Not Track in your browser, or email us as in section 16.
3.9. Payments (website and App Store)
- If you pay on the WeDo website: the buyer's full name, email and phone number; the plan, amount, order code, status and time of payment.
- If you ask for an invoice: company name, tax code and invoice address.
- Payment goes through the payOS gateway. We do not store your card number or bank account number.
- The mobile app reads your current plan and your remaining AI uses. The Android app has no purchases. The iPhone app does not receive notifications about plans or payments.
- Subscriptions bought through the App Store: Apple processes the payment and keeps your payment details; WeDo does not receive card numbers or payment details. When you buy, the WeDo server stores only the identifiers Apple issues (original transaction ID, transaction ID, product ID), the subscription period, the renewal status, and a random identifier WeDo issues to link the transaction to your account. WeDo verifies transactions with Apple to grant and remove plan benefits. Apple processes your data under Apple's privacy policy.
3.10. Violation reports, blocking and account suspension
- When you report a message or a user, we store: the reason you choose (Spam, advertising; Harassment, bullying; Hate, discrimination; Sexual content; Violence, threats; Other), the additional description if any (up to 500 characters), your account, the reported account, and the time of the report.
- For a reported message, the server also stores a snapshot of the text of the message and the names of its attachments at the time you send the report. That way we can still review it even if the message is later recalled or deleted.
- The reported person is not told who reported them, unless the law requires disclosure.
- When you block someone: the list of people you have blocked.
- If an account is suspended for a violation: the time and the reason for the suspension.
3.11. Permissions on your phone
- Camera: used only when you tap to take a photo to send in chat.
- Photos: the app receives only the photos you choose yourself, to send in chat or to use as your avatar.
- Files: the app receives only the files you choose yourself to submit work.
- Notifications: only if you allow them. On iPhone, WeDo asks for this permission only when you tap "Enable notifications" ("Bật thông báo") in the Notifications tab.
The app does not use your phone's microphone, location, contacts or calendar, and does not ask for advertising tracking permission.
4. What we use data for
- Creating and protecting accounts: registration, sign-in, password reset; revoking Sign in with Apple when you delete your account.
- Providing the features you use: assigning tasks, project chat, direct messages, friends, meetings, calendar, the contribution report.
- Sending push notifications about tasks, meetings, messages and friend requests; sending password reset code emails. We do not send advertising emails.
- Running AI features when you or your team use them (section 8).
- Counting AI uses and managing paid plans purchased on the website or through the App Store.
- Finding and fixing bugs, and measuring the speed of the app and the server.
- Understanding how people use WeDo in order to improve the product: daily active people, which features are used.
- Keeping WeDo and its users safe: blocking requests that arrive too fast; automatically replacing profane words in messages and display names with ***; reviewing violation reports; removing violating content and suspending accounts that violate the Terms of Use. The filter reads content only at the moment you send it and stores no additional data.
- Complying with the law and answering lawful requests from competent state authorities.
We do not use your data for advertising, we do not build advertising profiles, and we do not sell data. If we want to use data for a new purpose, we will tell you beforehand and ask again where the law requires.
5. Our basis for processing data
- Your consent. On the website and the iPhone app, you tick the box "I am at least 18 and agree to the Terms of Use and the Privacy Policy" when you register by email, or on the Terms of Use screen shown once after sign-in. An account that has not yet consented, such as a new account created with Apple or Google, must pass this screen before using WeDo on the website or iPhone. You also consent when you let the app use the camera, photos or notifications, and when you agree to use AI features on the iPhone app or the website. You can withdraw consent at any time (section 11).
- To perform the agreement between you and WeDo. When you send a message, we must deliver it to the recipient. When you submit work, we must store the file so the leader can view it. Without this data the service cannot run.
- To comply with legal obligations. For example: providing data on the lawful request of a competent state authority.
- In an emergency, to protect your life or health or another person's, where the law allows.
When you register by email, your full name, email and password are required. When you sign in with Google or Apple, we take your full name and email from them; with Apple, you may choose not to share your name and may hide your email. Phone number, date of birth and avatar may be left empty.
6. Who can see your data
Other WeDo users:
- People in the same workspace see your full name, email, avatar and role, and can send you direct messages.
- People in the same project see the messages, photos and files you send in project chat, and can tell when you are typing. They also see tasks, submissions, meetings, meeting notes and the Contribution report (each member's completed, unfinished and overdue tasks and the number of submissions).
- People you exchange direct messages with see the messages, photos and files in that conversation, together with your full name, email, avatar and phone number (if you filled it in).
- Friends see your full name, email, avatar and phone number (if you filled it in), and can send you direct messages. When you send someone a friend request, that person also sees this information. Conversely, until the recipient accepts, you do not see their email and phone number.
- Search: any signed-in WeDo user can find you by typing at least 3 characters of your name, or by typing your exact, complete email or phone number. People who are not yet your friends see only your full name and avatar in the results, not your email or phone number. They can send you a friend request. People you have blocked, and people who have blocked you, cannot find you.
- Active status: while you have WeDo open, the server tells the connected WeDo apps that your account is online. This notification carries only the account identifier, not the name. People you exchange direct messages with see an "active" indicator next to your name.
- If you sign in with Apple and hid your email, "email" in the lines above is Apple's relay address, not your real email.
Anyone with a link:
- Video meeting room: anyone with the meeting room link can enter. Do not share the link outside your team.
- Submission files: anyone with the file link can download it. The link contains a random code that is very hard to guess, but do not share it outside your team.
- Photos and files sent in chat are different: only people who are signed in and belong to that exact project or conversation can open them.
On your phone screen:
- Push notifications show the sender's name and up to the first 120 characters of the message, and may appear on the lock screen. You can turn off the preview in your phone's notification settings.
- If you have blocked someone, you do not receive push notifications for messages they send in shared project chats.
The WeDo operating team:
- A small number of WeDo team members have administrator access. The admin page shows the list of accounts (full name, email, phone number, date of birth), workspaces, plans, orders, feedback and activity figures.
- The "Violation reports" page shows reports: the reason, the description, a snapshot of the reported content, and the full names and emails of the reporter and the reported person. Operators can remove violating messages and suspend violating accounts. Apart from the snapshot in a report, the admin page does not display message content.
- When a new report arrives, the server may send an alert email to the operating team's mailbox. The email contains the reason, the description, the full names of the reporter and the reported person, and a snapshot of the content.
- Operators view specific content only when handling a violation report, when you ask for support, or when the law requires.
Others:
- The service providers in section 7, only to do their work for WeDo.
- Competent state authorities, on a lawful request.
- If WeDo is handed over to someone else to run, data may be transferred with it. The recipient must follow this Policy, and we will tell you beforehand.
7. Third parties that process data for WeDo
We use the providers below to run WeDo. Each receives only the part of the data needed for its job.
- Microsoft Azure (Microsoft). Job: runs the WeDo server (Azure App Service) and stores photos, files sent in chat and submissions (Azure Blob Storage). Data: all data passing through the WeDo server; photos and files. Where processed: the server is in Hong Kong (East Asia region); the file storage is in an Azure region overseas.
- Supabase. Job: the database holding accounts and content. Data: the data in section 3, except photos and files. Where processed: a server region overseas, on Amazon Web Services infrastructure.
- Vercel. Job: hosts and serves the WeDo website; runs the relay that the WeDo server uses to send AI requests to the Google Gemini API and Anthropic's Claude (section 8.2). Data: IP address, browser information, the pages you open; for the relay: the content sent to AI described in section 8.1 and the AI result returned; the relay only passes it on and does not store it. Where processed: the United States and Vercel's network of servers in many countries; the relay runs in the United States.
- Google (Sign in with Google, on the website, the Android app and the iPhone app). Job: verifies your Google account when you choose to sign in with Google. Data: Google tells us your full name, email and profile photo; Google knows that you signed in to WeDo.
- Apple (Sign in with Apple, on the iPhone app only). Job: verifies your Apple ID when you choose to sign in with Apple; revokes Sign in with Apple when you delete your account. Data: Apple tells us your Apple user identifier, your email or relay address, and your full name the first time if you share it (section 3.1). The WeDo server sends Apple the authorization code in exchange for a refresh token, and when you delete your account it sends that refresh token to revoke it. Apple knows that you signed in to WeDo. Where processed: on Apple's infrastructure.
- Gmail (Google). Job: the support mailbox wedosupport6886@gmail.com. Data: the email you send us, including data requests and reports sent by email.
- Expo (650 Industries, Inc.). Job: delivers push notifications to phones and distributes app updates. Data: the push token, the notification title and content (for example the sender's name and up to the first 120 characters of a message, a task name, a meeting name); the update check request in section 3.6. Where processed: the United States.
- Apple Push Notification service (Apple) and Firebase Cloud Messaging (Google). Job: deliver notifications to iPhone and Android phones. Data: same as the Expo entry.
- Sentry (Functional Software, Inc.). Job: receives error reports and performance figures. Data: as in section 3.7. Where processed: the United States.
- AI providers: Google Gemini API (Google), Azure OpenAI (Microsoft), OpenAI API (OpenAI). Job: produce task suggestions, meeting summaries and feedback summaries. Data and conditions: see section 8. Where processed: the United States or the provider's server region.
- Anthropic (Anthropic, PBC). Job: answers questions in WeDoAi, WeDo's dragon assistant, using the Claude model. Data and conditions: see section 8.1d. Where processed: the United States or the provider's server region.
- Daily.co (Daily) and Deepgram. Job: video meeting rooms that run in the browser; converting speech to text when a member turns on meeting notes on the website (Daily uses Deepgram for this). Data: video and audio in the meeting room (streamed live; WeDo does not turn on video or audio recording), the name you enter when joining the room, and the transcript. Daily stores one copy of the transcript in Daily's storage. Where processed: the United States.
- Brevo (France). Job: sends password reset code emails, and may send alert emails about new violation reports to the operating team's mailbox. Data: your email and the code; for report alerts: the reason, the description, the full names of the reporter and the reported person, and the content snapshot. Where processed: the European Union.
- payOS. Job: the payment gateway of the WeDo website. Data: as in section 3.9. Where processed: Vietnam.
- PostHog (PostHog, Inc.). Job: web measurement (section 3.8). The WeDo server also tells PostHog when a payment order on the website succeeds, with the account identifier, order code, plan and amount; without name or email. Where processed: the United States.
The parties above process data under contracts or terms of service with us, only to provide the service to WeDo. They must protect the data at a level at least equivalent to this Policy. Exceptions, if any, are stated in section 8.4.
We do not sell data, we do not share data for advertising, and we do not let anyone use data to track you across other apps or websites.
8. AI features
8.1. Which features send data to AI
a) Task suggestions from messages (app and website)
Only the project leader or the workspace owner can use this.
- On the iPhone app: the leader presses and holds a message in project chat, then chooses "Create task with AI" ("Tạo công việc bằng AI").
- On the Android app: the leader presses and holds a message in project chat; the app sends the request right away.
- On the website: the leader chooses to use AI for a specific message. The website does not send any message to AI when nobody has chosen to.
Each time, the WeDo server sends the AI provider:
- the project name;
- the selected message, with the account identifier, full name of the author and the time sent;
- up to the 12 most recent messages in the project chat, with the account identifier, full name of the author and the time sent. These messages may be written by other members;
- the list of project members: account identifier, full name, role;
- the current date, time and time zone.
The server does not send anyone's email or phone number to AI. Only the text of messages is sent. Photos and files are not sent.
The AI returns a suggestion: task name, description, assignee, deadline, confidence level. The leader reviews and edits it before creating the task. No task is created automatically.
b) Meeting summaries (website)
When a member turns on meeting notes in a meeting room on the website, Daily.co converts everyone's speech in the room to text. When the transcript is ready, the WeDo server automatically sends the meeting title and the transcript (up to 60,000 characters) to the AI provider to produce a summary, decisions and action items. On the website, a leader can also paste or edit the transcript and click to regenerate the summary; the pasted text is then sent to the AI provider in the same way. The mobile apps only display the results. Please tell everyone in the room before you turn on meeting notes.
c) Feedback summaries (internal)
WeDo administrators can send up to the 120 most recent feedback entries to AI to summarize overall opinion. Each entry contains only the rating and up to 800 characters of comment, without name or account. Comments are sent verbatim, so do not put personal information in your feedback.
d) WeDoAi, the dragon assistant (website and apps)
WeDoAi runs only when you type or tap a question in the WeDoAi panel. For each question, the WeDo server sends Claude (Anthropic):
- your question and up to the 10 most recent messages in the open WeDoAi conversation;
- a summary of what you can already see in WeDo: workspace and project names, your role, the number of members, main goals; task names, assignees (display names), deadlines and status; meetings in the next 14 days; the number of tasks assigned, done and late for each project member;
- the language you are using.
The server never sends WeDoAi your email, phone number, team chat or direct messages, attachments or payment details. WeDoAi only reads: it does not create, change or assign tasks.
WeDoAi on the introduction page (not signed in). On the WeDo introduction page you can ask WeDoAi about WeDo without an account. WeDo then sends Claude only the question you type, up to the 4 most recent messages in the panel and the page language; no account data is sent. To limit questions (5 per day), the server stores a one-way hash of your network address with the day's question count; it does not store your raw IP address, your questions or the answers. Please don't type personal information into this panel.
8.2. AI providers
For features a, b and c, at any time the server uses only one provider: the Google Gemini API if it is configured; otherwise Azure OpenAI (Microsoft); otherwise the OpenAI API. If that provider returns an error, the server uses WeDo's built-in rules and does not pass the data to another provider. If no provider is available, the server uses the built-in rules and sends data nowhere.
The WeDo server sends AI requests to the Google Gemini API through a WeDo relay running on Vercel in the United States: the relay receives the request from the server, forwards it unchanged to Google and returns the result. The relay does not store the request content or the result.
WeDoAi (section 8.1d) always uses Anthropic's Claude. The WeDo server sends questions to Claude through the same WeDo relay on Vercel in the United States; the relay only passes them on and does not store the content. If Claude fails, WeDoAi shows an error and does not pass the data to another provider.
8.3. We ask you before sending
On the iPhone app and on the website, before you first use AI task suggestions, WeDo asks whether you agree to send the data described in 8.1a to the AI provider. If you do not agree, nothing is sent, and you can still create tasks by hand as usual. You can withdraw consent at any time: turn off the Allow AI ("Cho phép dùng AI") switch in the Account tab of the iPhone app, click Turn off AI (task suggestions and WeDoAi) ("Tắt AI (gợi ý công việc và WeDoAi)") in Settings → Profile on the website, or email us as in section 16. Turning it off in one place turns it off for the whole account. Withdrawal cannot recall data already sent.
The current Android app does not ask first: when a leader presses and holds a message in project chat, the data described in 8.1a is sent to the AI provider right away. If you are a leader and do not want this, do not press and hold messages in the Android app.
Because the 12 most recent messages may be written by others, the whole team's data may be sent when a leader uses AI, in the app or on the website. If you do not want your messages sent to AI, tell your leader, and do not write sensitive information in project chat.
Before you first ask WeDoAi a question, WeDo asks whether you agree to send the data described in 8.1d to Claude (Anthropic). If you do not agree, nothing is sent. This consent is shared with AI task suggestions: turning it off in one place turns off both.
8.4. What AI providers do with data
- Google Gemini API: Google's terms differ between the paid tier and the free tier. On the paid tier, Google does not use the content sent and the results returned to improve Google's products. On the free tier, Google may use the content sent and the results returned to provide, improve and develop Google's products, and Google reviewers may read the content. If you do not want your content to be usable in this way, do not use AI features.
- Azure OpenAI and OpenAI API: under Microsoft's and OpenAI's terms, data sent through the API is not used to train models. The provider may retain data temporarily to detect abuse.
- Anthropic (Claude): under Anthropic's commercial terms, data sent through the API is not used to train models. Anthropic may retain data for a limited time to detect abuse and to meet legal requirements.
8.5. Where AI results are stored
WeDo stores the AI results, the provider name, the model and the number of uses, in order to show the results again and to count AI uses per month. These records are deleted when you delete your account.
For WeDoAi, the WeDo server does not store questions or answers. It only records the number of questions per day, token counts, estimated cost, response time and error codes, to apply the daily limit and track cost. Your WeDoAi chat history stays only in your browser or on your phone (up to 30 messages) and is deleted when you sign out. When you delete your account, the daily question counts are deleted and the cost records are detached from your account.
9. How long data is kept
We keep data for as long as it is needed to provide the service, then delete it. Specifically:
- Account, profile, friends, settings: until you delete your account.
- Messages, photos, files, tasks, submissions, meetings, calendar events: until you or a person with authority in the team deletes or recalls them, until the workspace containing them is deleted, or until you delete your account. Section 10 explains what remains after an account is deleted.
- Push tokens: until you sign out on that device, until the system reports that the token is no longer usable, until the account is suspended, or until you delete your account.
- Sessions: the session renewal token expires 60 days after the last use.
- Password reset code: expires after 10 minutes, or immediately after use.
- The time you agreed to the Terms and confirmed you are at least 18: until you delete your account. The time you agreed to use AI is deleted immediately when you turn off "Allow AI" on iPhone or turn off AI task suggestions on the website.
- AI results and AI usage counts: until you delete your account.
- Apple user identifier and Apple refresh token: until you delete your account. Each time you sign in with Apple, the old refresh token is replaced by the one Apple has just issued.
- Feedback to WeDo: until you delete your account.
- Violation reports: kept as a handling record, even after the related account is deleted; the report is then no longer linked to an account. There is currently no automatic deletion period. You can request deletion under section 11.
- The list of people you have blocked: until you unblock or delete your account.
- Meeting transcripts stored at Daily.co: currently not deleted automatically. You can request deletion under section 11.
- Error reports at Sentry: Sentry deletes them automatically after the retention period of the plan WeDo uses.
- Web measurement at PostHog: session recordings and events are kept for the retention period of the PostHog plan WeDo uses.
- WeDo's own web visit statistics: not tied to your name; the source you came from is tied to your account until you delete your account.
- Server technical logs: used only to find errors. Logs mainly record account identifiers. Only when sending a password reset email, the log records the recipient's email address.
- Database backups: if any exist, a backup is overwritten according to Supabase's backup cycle.
- Payment orders on the website: see section 10.
- Temporary data on your phone: the app's cache is deleted when you sign out. On iPhone, if you uninstall the app without signing out, the sign-in credentials may remain in the device's Keychain. Sign out before uninstalling the app.
10. Deleting your account
Option 1 — In the iPhone or Android app:
- Open WeDo and sign in.
- Go to the Account tab ("Tài khoản") and choose Delete account ("Xoá tài khoản").
- Read the list of data that will be deleted, and type XOA to confirm.
- Tap Delete account permanently ("Xoá tài khoản vĩnh viễn"), then confirm once more.
The account is deleted immediately and the app signs out. There is no waiting period and it cannot be restored. On iPhone, the app shows "Account deleted" ("Đã xoá tài khoản") and takes you back to the Sign-in screen.
If you have ever signed in with Apple: right after you delete using option 1, the WeDo server asks Apple to revoke WeDo's Sign in with Apple. When Apple receives the request, WeDo disappears from the Sign in with Apple list in your iPhone's Settings. If Apple does not receive the request, for example because of a network error, the WeDo account is still deleted; in that case you remove WeDo from that list yourself.
Option 2 — By email (for example if you only use the website, because the website does not yet have a delete-account button): send an email from the address you registered with to wedosupport6886@gmail.com, with the subject "Yêu cầu xoá tài khoản WeDo" (WeDo account deletion request). We verify, delete within 20 days and notify you. Detailed instructions: Delete your WeDo account.
If your account uses an Apple relay address, you cannot send mail from that address. Delete using option 1. If that is not possible, email us from the address you are using now and state the relay address clearly; we may ask further questions to make sure you own the account. Deleting by option 2 does not automatically revoke Sign in with Apple; remove WeDo yourself from the Sign in with Apple list in your iPhone's Settings.
Before deleting: if you are the owner of a workspace that still has other members, the app requires you to transfer ownership to a member first. This is so that one person does not accidentally delete the whole team's data.
Deleted immediately when the account is deleted:
- Profile, email, password, phone number, date of birth, avatar.
- The Apple user identifier and the Apple refresh token, if you ever signed in with Apple.
- Messages you sent in project chat and direct messages, and your reactions.
- Friends and friend requests.
- Your notifications, push tokens, sessions.
- Your submissions and attachments (see the file section below).
- Meetings and calendar events you created.
- Feedback, AI results and AI usage counts linked to you.
- The list of people you have blocked.
- The time you agreed to the Terms and agreed to use AI.
- Workspaces that only you belong to, with all the projects, tasks, messages and files inside.
Files and photos you sent or submitted:
Photos, attachments and submissions you uploaded are deleted from the Azure Blob storage immediately after the account is deleted. Files in workspaces deleted along with the account are also deleted. The avatar is part of the profile, so it goes with the profile.
What remains, because it belongs to the team or to other people:
- Tasks you were responsible for stay in the project and become unassigned.
- Messages that other people forwarded from your messages are copies sent by them, including attached photos and files. Those copies remain and may name you as the original author.
- Transcripts and summaries of meetings created by others may contain your words or your name.
- Messages and tasks written by others may mention you.
- Violation reports you filed or that concern you: kept as a record for handling violations, but no longer linked to your account. The snapshot of the reported content remains in that record.
Payment orders on the website:
- Paid orders are kept as accounting and tax records, for the period the law requires, but are no longer linked to your account. The retained order contains what you entered when buying: full name, email, buyer's phone number, plan, amount, order code, time of payment, and company name, tax code and invoice address if you asked for an invoice. Orders whose received amount did not match are also kept for reconciliation.
- Unpaid orders (cancelled or expired) are deleted with the account. Orders awaiting payment are cancelled. If money still arrives for a cancelled order, email us as in section 16 so we can reconcile.
- payOS and your bank still keep transaction records under their own policies and under the law.
Copies elsewhere:
- If the database has backups, deleted data may remain in them until the backup is overwritten under Supabase's cycle. We use backups only to recover from incidents.
- Error reports at Sentry are not linked to your account and delete themselves per section 9.
- If you have used the website: measurement events at PostHog linked to the account identifier are currently not deleted automatically. Email us if you want them deleted.
- Meeting transcripts at Daily.co are currently not deleted automatically. Email us if you want them deleted.
- If you signed in with Google: you can remove the link to WeDo in the security section of your Google Account.
- If you signed in with Apple: WeDo automatically asks Apple to revoke it when you delete in the app (see above). You can also remove WeDo yourself in the Sign in with Apple list in your iPhone's Settings.
11. Your rights
Under the Law on Personal Data Protection No. 91/2025/QH15 (effective January 1, 2026) and Decree 356/2025/ND-CP guiding that law, you have the right to:
- Know which of your data is processed, for what, and by whom. This Policy is that notice.
- Consent or not consent, and withdraw consent.
- View and correct your data.
- Request a copy of your data.
- Request deletion of data.
- Request restriction of processing, and object to the processing of data.
- Complain, denounce, sue and claim compensation for damages as provided by law.
How to do it:
- View and edit your full name, phone number, date of birth and avatar: Account → Personal information ("Tài khoản → Thông tin cá nhân").
- Turn off each notification type (Task assignment, Task review, Deadline reminder, Meetings): Account → Notification settings. To turn off all notifications, including messages and friend requests: turn them off in your phone's notification settings.
- Withdraw camera or photo permission: in your phone's Settings.
- Withdraw consent to use AI: turn off the "Allow AI" switch in the Account tab of the iPhone app, click "Turn off AI (task suggestions and WeDoAi)" in Settings → Profile on the website, or send an email.
- Not be measured by PostHog on the website: turn on Do Not Track in your browser, or send an email.
- Report: press and hold the message you want to report, then choose "Report message". To report a person, tap the three-dot button at the top of your direct conversation with them, or the three-dot button next to their name on the Friends screen, then choose "Report this person".
- Block a user: press and hold one of their messages, or tap either of the three-dot buttons above, then choose "Block this person". To unblock: Account → Blocked users.
- Delete your account: see section 10.
- Any other request (a copy of your data, partial deletion, restriction, objection, deleting data at third parties such as PostHog or Daily.co): email wedosupport6886@gmail.com from the address you registered with. We may ask further questions to make sure you own the account. We do not charge a fee.
Time limits:
- We acknowledge receipt of a request within 2 working days.
- We carry out requests within 10 days for requests to view, correct or provide data; 15 days for requests to withdraw consent, restrict or object; 20 days for deletion requests.
- If a third party must take part, the time limits are 15, 20 and 30 days respectively.
- If we must extend, we tell you the reason and extend only once: by no more than 10 days for requests to view, correct or provide data; 15 days for requests to withdraw consent, restrict or object; 20 days for deletion requests.
Withdrawing consent does not invalidate processing already done before. Some features need data in order to run; if you withdraw, that feature will stop for you. In some cases the law allows, we may refuse or only partly carry out a request, and we will state the reason.
If you are not satisfied with how we handle a matter, you have the right to complain to the specialized personal data protection authority under the Ministry of Public Security.
12. Minimum age
WeDo is for people aged 18 and over. We do not knowingly collect data from anyone under 18. If we learn that an account belongs to someone under 18, we will delete it. If you are a parent or guardian and think your child has created a WeDo account, tell us by email as in section 16.
13. Security
- All connections between your device and the WeDo server are encrypted with HTTPS.
- Passwords are stored only as hashes (bcrypt). Session renewal tokens and password reset codes are also stored only as hashes. The password reset code allows only 5 wrong attempts.
- For Sign in with Apple, the server verifies Apple's signature on the identity token before letting you in. The Apple refresh token is in the database, is used by the server only to revoke, and is not written to technical logs.
- On your phone, the sign-in token is kept in the operating system's secure store (Keychain on iPhone, Keystore on Android). The app's temporary data is deleted when you sign out.
- Photos and files in chat are in private storage. The server returns a file only to a person who is signed in and belongs to that exact project or conversation.
- The server's technical logs do not record passwords, password reset codes or sign-in tokens.
- Only a small number of WeDo team members have administrator access.
No system is perfectly secure. If an incident exposes personal data, we will remedy it, and notify the specialized personal data protection authority and the people affected within the time the law prescribes.
You help keep things safe by using a password just for WeDo, not sharing your account, and signing out on devices that are not yours.
14. Where data is stored
WeDo does not yet have servers in Vietnam. Most of your data is stored and processed overseas:
- Hong Kong: the WeDo server (Microsoft Azure, East Asia region).
- Photos and files (Azure Blob Storage) and the database (Supabase, on Amazon Web Services infrastructure): the providers' server regions overseas.
- United States: error reports (Sentry), web measurement (PostHog), push notifications and app updates (Expo, Apple, Google), meeting rooms and transcription (Daily.co, Deepgram), AI (Google, Microsoft, OpenAI, depending on the provider's server region), the relay for AI requests to Google Gemini and Claude (Vercel), sign-in with Google, website hosting (Vercel, with servers in many countries).
- European Union: sending email (Brevo).
- Vietnam: payment (payOS).
- Support mailbox (Gmail): on Google's infrastructure.
- Sign in with Apple: on Apple's infrastructure.
We transfer only the data needed for each job, and only use providers that commit to protecting data as described in section 7.
15. Changes to this Policy
When we amend this Policy, we update the date at the top of the page. For important changes, such as collecting a new type of data, using data for a new purpose or adding a new recipient of data, we notify you in the app or by email before they apply. If a change needs your consent, we will ask again. You can ask for earlier versions of the Policy by email.
